2. What information we collect
The information we collect depends on how you interact with us. It may include:
- Contact information, such as your name and email address.
- Information you give us when you contact us, including the content of your enquiry and any organisation or role information you choose to provide.
- Briefing and mailing-list information, including your name, email address, signup source, subscription status and communication preferences.

- Analytics information about website use where you have consented to analytics technologies.
We do not ask for special category data (for example information about health, ethnicity, religion or sexual orientation) as part of our normal website or course processes. Please avoid sending sensitive personal information through our forms unless it is genuinely necessary.
We do not receive or store your full payment-card details. Online learning payments are processed through Thinkific Payments, Thinkific’s Stripe-powered payment service. Payment details are handled through the payment services used in that checkout flow. We may receive transaction, billing and payment-status information needed to administer your purchase, maintain appropriate records and provide customer support.
3. How we use your information and our lawful bases
UK data protection law requires us to have a lawful basis for using personal information. The table below explains the main ways we expect to use information through the Vue Solutions website and learning services.

|---|---|---|
| Run, secure and troubleshoot the website | Technical, device, security, diagnostic and anti-abuse information. | Legitimate interests — operating a secure, reliable website |

Where we rely on legitimate interests, we consider whether our interest is necessary and proportionate and whether your rights and interests should take priority.
4. The free briefing and email marketing
If you enter your name and email address to request the free AI Governance & Leadership briefing, we use those details to send you the briefing you asked for. That delivery is separate from permission to send you broader marketing.
If you choose to join the Vue Solutions email list, we may use Loops to manage your subscription and send emails about Vue Solutions insights, learning products, services and relevant updates. We rely on your consent for marketing signups collected through the website.
You can unsubscribe from marketing at any time by using the unsubscribe link in an email or by contacting us. Unsubscribing from marketing does not prevent us from sending a message that is necessary to deliver something you requested, administer a purchase, provide learner access or respond to an enquiry.
We may keep a minimal suppression record after you unsubscribe so that we can respect your choice and avoid adding you back to marketing unintentionally.
5. Cookies and analytics
Our public website at https://vuesolutions.co.uk uses cookies and similar technologies. Some are necessary for the website, security and consent management. Non-essential analytics technologies are controlled through our cookie-consent tool.
We use Cloudflare Turnstile on selected public-website forms to help distinguish legitimate users from automated traffic and protect the website against spam and abuse. Turnstile may process technical and browser signals such as IP address, browser or user-agent information, connection characteristics and website origin. It does not access, store or transmit the contents of the form fields you submit. We use Turnstile as a necessary security measure in our legitimate interests in operating a secure and reliable website. Cloudflare may also process Turnstile signals under its own privacy responsibilities to improve its bot-detection capabilities. You can find more information in Cloudflare’s Turnstile Privacy Addendum.
We use Google Analytics 4 to understand how people use our public website. Analytics cookies or analytics storage are not enabled unless you give the relevant consent. Your consent choice is communicated to the analytics tools we use and can be changed through the cookie settings on the website.
Our learning site at https://learn.vuesolutions.co.uk is provided through Thinkific and uses cookies and similar technologies needed for functions such as account access, sessions, security, checkout and learning delivery. Thinkific may also use technologies associated with providing and securing its platform. Where Vue Solutions controls the use of non-essential analytics or similar technologies on the learning site, we will provide the information and consent controls required by applicable law.
Our separate Cookie Notice explains the categories of cookies and technologies we use or control, their purposes and how to change your preferences. The detailed cookie list will reflect the technologies actually present on the live services.
6. Purchases, Thinkific and Hello Audio
When you buy a Vue Solutions learning product, we use the information needed to process the order, provide access, communicate about the purchase and support your use of the product.
We use Thinkific for purchaser and learner accounts, checkout and order administration, and course or resource delivery through https://learn.vuesolutions.co.uk. Payments made through our Thinkific checkout are processed using Thinkific Payments, which is Stripe-powered. We use Hello Audio where a learning product includes private podcast access.
These providers receive the information reasonably needed for the service they provide. Their systems may also generate account, transaction, access, security and technical records in connection with your use of those services.
7. Who we share information with
We do not sell your personal information. We use trusted technology and service providers to operate the website, communicate with you and deliver our products. Where a provider processes personal information on our behalf, we require appropriate contractual and data-protection safeguards.

| Google Analytics 4 | Consented website analytics and measurement |
| Loops | Free-resource delivery, mailing-list management, marketing emails and website contact communications |

We may also disclose personal information where required by law, to professional advisers where reasonably necessary, or in connection with a sale, restructuring or transfer of all or part of the business, subject to appropriate protections.
8. International transfers
Some of the technology providers we use operate in, or process information from, countries outside the United Kingdom. This can mean personal information is transferred internationally.
Where UK data-protection rules treat a transfer as restricted, we take steps to ensure that an appropriate transfer mechanism or safeguard applies. Depending on the provider and destination, this may include UK adequacy regulations or approved contractual safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
You can contact us if you would like more information about the safeguards relevant to your personal information.
9. How long we keep information
We keep personal information only for as long as we reasonably need it for the purpose for which it was collected, including to provide services, maintain appropriate business records, resolve disputes and meet legal, tax and accounting obligations.
| Type of information | Typical approach |
|---|---|
| Enquiries and correspondence | Usually retained for up to 2 years after the last meaningful contact, unless a longer period is needed for an ongoing relationship, dispute or legal reason. |
| Free briefing delivery records | Kept long enough to deliver the resource, manage delivery issues and maintain an appropriate record of the request. If you separately join the mailing list, the marketing record follows the marketing retention approach below. |
| Marketing records | Kept while you remain subscribed or while we otherwise have a valid reason to retain the record. We remove or suppress contacts when consent is withdrawn and may retain a minimal suppression record to respect the opt-out. |
| Course and learner records | Kept while needed to provide access and support, and afterwards for a reasonable period where needed for customer service, contractual or legal purposes. |
| Financial and transaction records | Generally retained for up to 6 years where needed for UK tax, accounting or legal record-keeping. |
| Analytics and cookie-consent records | Retained according to the configured settings of the relevant analytics and consent tools and reviewed so that information is not kept longer than necessary. |
| Security and anti-abuse records | Kept only for as long as reasonably needed to detect misuse, protect the website and investigate security issues, then deleted or anonymised where appropriate. |
10. How we protect information
We use reasonable technical and organisational measures designed to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. These measures include using reputable service providers, access controls and appropriate security practices.
No internet service can be guaranteed to be completely secure. If we become aware of a personal-data breach, we will assess it and take the steps required by applicable data-protection law.
11. Your data-protection rights
Depending on the circumstances, UK data-protection law may give you the right to:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete your personal information in certain circumstances.
- Ask us to restrict how we use your information in certain circumstances.
- Object to certain uses of your information, including direct marketing.
- Receive personal information you provided to us in a portable format where the right to data portability applies.
- Withdraw consent at any time where we rely on consent. Withdrawal does not affect processing that was lawful before consent was withdrawn.
You do not have to pay a fee to exercise these rights in most circumstances. We may need to ask for enough information to confirm your identity before acting on a request.
12. Automated decision-making
We do not use the personal information described in this notice to make solely automated decisions about you that produce legal or similarly significant effects.
13. Changes to this notice
We may update this Privacy Notice when our services, technology providers or legal obligations change. The latest version will always be published on this page and the date at the top will show when it was last updated.
